Privacy Policy

01Information we collect

Application and profile information: name, email, phone number (optional), professional role, specialty, the state(s) you hold licenses in, NPI, years of experience, current role or employer, a CV file or LinkedIn URL, your responses about AI experience and motivation, weekly availability, and technical metadata such as IP address. Credential details are collected specifically to perform verification, which is the core function of the platform.

Screening records: if you are invited to the recorded case interview, we collect your microphone audio while the interview is open, transcripts of it produced by an automated speech-to-text service and corrected by you, the text you type, your ranked possible causes and how sure you are about each, your orders, expectations, diagnosis, plan and explanations, and the time each step takes. The case interview does not use your camera, and we do not create, store or derive a voiceprint or any other biometric identifier from your audio.

Work records: applications to projects, completed reviews and ratings, quality scores, and payment records.

Technical data: standard server logs and analytics events (pages viewed, approximate region, device type). We do not run third-party advertising trackers.

02How we use it

We use your information to:

• Verify your professional credentials against licensing-board and registry records
• Evaluate your application, including the recorded case interview. People review your screening records; software does not score, rank or decide on your application
• Match you with projects appropriate to your specialty
• Administer payments and required tax reporting (e.g., IRS Form 1099 in the US)
• Maintain quality and integrity systems, including fraud and account-sharing detection
• Communicate with you about applications, projects, and platform changes

03What we share, and with whom

We share credential details with verification providers and primary sources (such as the NPI registry) solely to verify them. We share payment details with our payment processor to pay you. Clients whose projects you work on see your specialty and work product. They never see your license number or contact details unless you explicitly agree for a specific engagement.

We do not sell personal information. Your name, contact details, NPI and license numbers, CV, application answers and payment details are never sold or licensed to anyone. We may disclose information where required by law or to protect the platform against fraud or abuse.

Content you create on the platform is treated differently from personal information, as described in the next section.

04Content you create on the platform

The responses and reasoning you produce on the platform, such as your recorded answers during the case interview and the work product of review projects, may be used by Healthcare Reviewer to run and improve the platform and may be included, in de-identified form, in datasets we license to third parties, including developers of artificial intelligence systems, for research, evaluation, benchmarking and training.

Before any such use, your name and contact details are removed and replaced with a code, and name words you say during the interview are removed from transcripts. The only facts that accompany de-identified content are your profession, specialty, years of experience and licensing state. Your personal information is never part of a licensed dataset.

Your recorded voice is part of your interview responses. We do not derive a voiceprint or any other biometric identifier from it, and the written terms under which we license datasets bar recipients from doing so and require them to keep the content de-identified and to delete it on our request.

The specific terms for the case interview are in the Case Interview Agreement you sign before it begins. You can ask us at any time to stop including your responses in future dataset releases by emailing us; copies already delivered to a licensee are governed by that licensee's written terms with us.

05Clinical data in review work

Datasets used in review work are de-identified or synthetic. Reviewers are contractually prohibited from introducing identifiable patient information into the platform, and we treat any suspected identifiable data in a dataset as an incident: the dataset is pulled, the source is corrected, and affected work is re-issued.

06Retention

Application data for accounts that never complete verification is deleted after 24 months. Verified-reviewer records are retained while your account is active and for the period required for tax, payment, and dispute purposes after closure (typically 7 years for payment records). You can request earlier deletion of anything we are not legally required to keep.

Case interview recordings and transcripts kept for evaluating your application are deleted twelve months after a decision on your application. Content licensed under the Data License Agreement is kept for as long as the datasets that contain it exist.

07Your rights and choices

You can access, correct, or export your profile information at any time, and you can request account deletion by emailing us. You can also ask us to stop including your interview responses in future dataset releases. Depending on your jurisdiction (e.g., California), you may have additional statutory rights to access, deletion, correction, and portability; we honor verified requests regardless of jurisdiction where practical.

The platform and the case interview are open to clinicians located in the United States who hold a current license to practice in a United States state or territory. We do not accept applications from the European Union or the United Kingdom.

08Security

Credential and payment data are encrypted in transit and at rest, access is role-restricted and logged, and license numbers are stored separately from public profile data. No system is perfectly secure; if a breach affects your personal information we will notify you as required by law and as quickly as we practically can.

09Changes to this policy

If we change this policy in a material way we will notify registered users by email before the change takes effect, and update the effective date above.
